Entourage 2008 (Macintosh) for CUMC IT Exchange Configuration

About Entourage
Entourage is included in Microsoft Office 2008 for Macintosh computers, along with Word, Excel and PowerPoint. Your computer must have Mac OS X version 10.4.9 or later to run Microsoft Office 2008, please see the Columbia Microsoft Office download page for more information if you need to install Office. It is available for free under a site license for current Columbia faculty, staff and students.

If you're not sure whether you have Entourage installed, check your Mac's Applications folder - Microsoft Office 2008. Entourage should be in this folder; you can drag the Entourage icon to your dock for quick access.

IMPORTANT: The CUMC IT Exchange server was recently upgraded. This requires that anyone using Entourage have version 13.0.8 installed. To check your version, open Entourage and select About Entourage from the drop down menu in the far upper left. If you do not have this version installed, please click here for instructions on upgrading.

About Exchange
Once you receive your Exchange account, verify that it's active by logging into the web based program, Outlook Web Access. You should also change your password once you have logged in to Web Access, click here for step by step instructions.

To receive your login and password for Exchange:
  • After requesting an Exchange account, you or the person who submitted the request form will receive an email or phone call with your Exchange user name and instructions on selecting a password. Please allow at least two business days for the account to be created.
  • If an account was requested and you'd like the status or need to obtain the information for your CUMC IT Exchange account, contact the Service Desk at at 5- Help (212-305-4357), option 5. The user name should be your UNI.

Remember that your account configuration is not complete until you set up mail forwarding by following the instructions in Setting up Mail Forwarding.

How to Set Up Your CUMC IT Exchange Account in Entourage 2008

  1. Make sure that you have the latest software updates for Entourage.
    1. Open Entourage. If the Entourage Setup Assistant window opens, click on the red button in the upper left of the window to close it, then the Make Default button if prompted to to make Microsoft Entourage your default e-mail program.
    2. Select Help from the top toolbar in Entourage, then Check for Updates. The Microsoft AutoUpdate window will appear.

    3. Select the Check for Updates button and follow any instructions that appear. NOTE: We highly recommend that you set Microsoft AutoUpdate to Automatically Check for Updates at least Weekly, as shown in the above screenshot.
    4. When updating finishes, select the Check for Updates button again to insure that you have installed all updates. Some updates cannot be done at the same time, and it is important to be sure all updates have installed.
    5. Close Microsoft AutoUpdate when done to return to the main Entourage window.
  2. Select Tools - Accounts from the topmost menu bar in Entourage.
  3. If you receive the New Account dialog box, select Exchange from the Account type drop down menu; if not, make sure that Mail is selected in the middle toolbar of the Accounts window, and select the New icon in the upper left.

  4. In the Account Setup Assistant window, check the My account is on an Exchange server box and select the Configure Account Manually button.

  5. In the Edit Account window, make sure Account Settings is selected at the top and enter the following information:

    • Account name: CUMC Exchange
    • Name: leave blank, this will be looked up automatically on the Exchange server when you first connect.
    • E-mail address: type in the Exchange account information you were given. This will typically be your UNI followed by @mail.cumc.columbia.edu (example: abc1234@mail.cumc.columbia.edu)
    • Account ID: your UNI
    • Domain: MC
    • Exchange server: mail.cumc.columbia.edu/exchange/<your UNI>@mail.cumc.columbia.edu
      Be sure to use your own UNI instead of <your UNI>!
    • Check the box next to This DAV service requires a secure connection (SSL)
  6. Click the OK button at the bottom of the Edit Account window.
  7. The Account Information login window will appear. Select Cancel for now, then Quit Entourage. You must close Entourage and open it again after initially configuring your Exchange account information or it will not work.
  8. Launch Entourage again. The Account Information should show MC for the Domain and your UNI for the Account ID; enter the password for your Exchange account and select OK.

  9. Entourage will connect to your account and update all of your existing Exchange mail, calendar and contact information. A progress bar and details will appear in the lower right corner of the Entourage window.
  10. Your CUMC Exchange account will appear in the top left of the Entourage window; select the arrow to its left to collapse or expand the folders in your mailbox such as your Inbox, Sent Items, Calendar, and Contacts.

    NOTE: Entourage automatically creates an account called On My Computer that will display below the CUMC Exchange account. Items here are on your computer's hard drive rather than the Exchange server.
Send a test message to yourself or a coworker by selecting the New icon in the upper left. Type in the recipient's email address, subject and body of the message, then select the Send button in the upper left of the message window. The message should send automatically, or you can click the Send/Receive icon in the top toolbar to be sure. Verify with the recipient or check your Sent Items folder to make sure that your Exchange email is working properly.
