Due to the high costs of supporting and maintaining the Oracle calendar system (given the limited number of users) in comparison to the robust and comprehensive features offered by Microsoft Exchange and Outlook system that CUMC has invested in as the enterprise solution for email and calendaring, CUMC IT decommissioned Oracle Calendar on March 15th, 2010.
In place of Oracle Calendar, we have implemented CUMC Exchange and Outlook. This system is the latest, most comprehensive, and totally integrated enterprise wide solution offered by Microsoft. It gives you a very easy and intuitive user interface and provides for total integration between email and calendar. From Outlook you can also access a host of features such as tasks, appointments, meetings, attachments, integration with Microsoft Office, and the CUMC global address book.
How can I order an Exchange account? Click here to fill out the online Exchange Account Request form. The order form does require an FAS account number and DA approval.
Are there other shared calendar options at CUMC?
There are not other shared calendar programs that are supported by CUMC IT. Oracle Calendar was decommissioned due to the high costs of supporting and maintaining it (given the limited number of users) in comparison to the robust and comprehensive features offered by Exchange and Outlook.
What if I use CUIT (Morningside) Exchange and/or Cubmail?
We request that CUIT Exchange users who need access to calendars of CUMC members request a CUMC Exchange account instead.
What will happen after I request an Exchange account?
Your DA must approve the request (an email will be sent to them when the online request form is submitted), then we will contact you to schedule a survey if needed. If your department or group has its own desk side IT staff, they may transition you instead; the following only applies to groups or individuals that want assistance from CUMC IT.
During the survey a technician will collect necessary information about your computer and advise you of any other changes or options available, including moving Calendar, Email and Contact data you may have stored in another program. NOTE: Oracle Calendar data will not be moved into Exchange until shortly before the decommissioning date. We recommend that you continue to use Oracle after Exchange and Outlook are set up on the computer until the Oracle decommissioning date, to avoid duplication of calendar entries.
An appointment will be made for the migration to Exchange. This will take approximately an hour depending on what is needed for your computer and account. The technician will have you log on at the end of the migration and verify that everything has been configured as needed.
Can I have an Exchange account for calendaring only?
Unfortunately, no. When an Exchange account is created, the account automatically appears in the list of CUMC Exchange contacts, the Global Address List. If others using CUMC IT Exchange email search for your name within this list and send a message, it will be sent to your Exchange email address only and you may miss important messages.
This is also true for meeting requests sent via email; if they are not sent to your Exchange address, they will not appear in your Outlook calendar automatically. The Exchange calendar and email are closely integrated, and email messages about calendaring must be received and processed on the centralized Exchange server to have the information automatically put onto a calendar.
